Job Description

  • Check forecast of functions to prepare and follow up with catering team for the confirmation of actual events.
  • Check through BEO in advance to plan of staffing, need of operating equipment, need of linen, decoration arrangement, lighting, sound system, accurate food & beverage menu
  • Conduct daily briefing sessions with staff and ensure all staff receive business update, event information, follow up, guest feedback and area to improvement and allocate team member with specific task to arrange for all events as per BEO
  • Monitor and supervise service flow according to the Standard Operating Procedure
  • Ensure team deliver high level service of standard in every particular style such as Meeting, Coffee break,Buffet,Reception, sit down lunch and dinner.
  • Handle complaints from guests in the most pleasant and efficient manner, to ensure guests satisfaction.
  • Plan and advise to order necessary operating equipment, furniture and linen item to meet operation requirement.
  • Control and care of all linen, OE items, furniture and machinery of the banquet department
  • Maintain proper communication with catering sales team and clarify whenever necessary
  • Deal with contractor, sub-contractor to ensure they follow safety rules and not damaging of anything belongs to hotel
  • Arrange training sessions for casual labor to perform well in banqueting service
  • Maintain and attract new business, to achieve greater yield of budgeted profit

 

Requirements

  • Good health/Pleasant and Articulate
  • Proficient in English (both oral & written) (preferably can speak third language e;g; Japanese, Chinese)
  • At least 3 years as Supervisor in banquet operation / Experience in other international hotels 
  • Self-starter, can work independently , good leadership skill
  • Tactful and sensitive to guest's needs

•    Assists in monitoring and controlling section cost on an ongoing basis

Training

•    Conduct training according to analysis of Kitchen staff
•    All training programmes are designed and implemented to meet needs

  • Coordinates all F&B promotions with Sales Department to ensure proper implementation
  • Acts as Customer Relation Officer and spends time with Customers/Members to establish a developing business relationship
  • Reports all happenings of the Department to the Food & Beverage Director and Manager
  • Conduct,compiles, analysis market researches and reports results monthly to the F&B Director
  • Define the direction we take to make money and grow the business
  • Ensure a regular and strong interface with cross-divisional sales organizations for market and customer issues
  • Define and engage team on how our products are used, how they add value and customers future needs
  • Manage projects to optimize use of technical resources in organization
  • Collaborate with Marcom and Corporate Communications on market channel strategy and campaign development

Qualifications

  • Bachelor Degree holder / Diploma in Sales,Marketing and Business Administration is a plus

 Provide all guest of the hotel with a high level of friendly , courteous, personalized and efficient service

- Beware of any VIPs , Long stayers and return guests staying in the hotel

- Beware of any anticipate guests needs and desires

- Handle all the guest complaints tactfully and pass on to the Duty Manager on duty immediately for follow up

- Be sure to use guest’s name minimum of twice during conversation

- Help promote and sell the hotel’s facilities at every opportunity

- Maintain a good product knowledge and updating all information in front desk

- Carry put the daily duties outline in work schedule efficiently and accurately

- Check any messages /telex/fax/mail to pass to the guest concern

- Read the log book to know any information and unsolved problems from the previous shift

- Prepare all stationers and forms that will be used for daily operation

- Check all rooms keys in rack and inform to Duty Manager if there are any missing /leaking key to follow up

- Have responsibly to give discount for walk-in guest as per instruction

- Inform to department concern for any guests who check-in with no luggage (walk-in) and prepare cash-in order form to distribute to department concern to avoid skip per guest

- Prepare and distribute guest in house list to department or section concern in very shift

- Prepare the distribution of groups and departmental report such as GM/DOSM/FOM etc.

- Assist the visitor for any appointment with management for business

- Ensure effective communication between themselves and all others in department

- Keep the front desk/counter clean well and tidy

- Preparation for group check-in

- Handle late check-out / pre-registration

- Preparation for cold towels for guest arrivals

- Preparation request forms for fruit basket/flowers/coffee and tea etc…

- Apartment guest inventory and checking

- Handle lost and found items with housekeeping

 

Required Skills

- Any graduate
- Can speak English fluently (preferably who can speak Chinese / Japanese language )
